Removal of Disciplinary Notations (Letters) in Personnel File
COTAPSA meets monthly with City Human Resources staff regarding Members’ terms and conditions of employment, and also to discuss City Policies and practices to ensure fairness and equity.
COTAPSA discussed with City Human Resources staff the removal of disciplinary notations (letters) in personnel files.
The normal time limit to request a removal of a disciplinary letter is two (2) years provided that there has been no other disciplinary action of the same or of a similar kind. Depending upon the circumstances, COTAPSA has been successful in having disciplinary notations (letters) removed as early as six (6) months after the incident.
City Human Resources staff confirmed that there is no structure in place for non-union management staff to remove disciplinary notations (letters) in personnel files.
Notwithstanding, COTAPSA and the City agreed to a structure that would allow Members to request in writing to their immediate manager the removal of any disciplinary notations (letters) in personnel files.
